What information we collect
1. Information you submit
When you use our Talk to Us form, email us or communicate about a project, we may collect:
- name and company name;
- work email and phone or WhatsApp number;
- website address;
- required service, indicative budget and preferred timeline;
- project description, objectives and other information you choose to share;
- communications, approvals, feedback and files exchanged during an engagement.
2. Inquiry-system information
Our inquiry system may record a submission date and time, unique inquiry reference, source page and processing status. For spam and abuse prevention, a short-lived technical identifier derived from submitted contact details may be cached temporarily. The inquiry details are stored in an access-controlled Google Sheet and used to send an internal email notification.
3. Information collected automatically
When you visit the website, WebPanther and the platforms supporting it may automatically process technical information such as IP address, browser and device type, operating system, approximate location, referring page, pages viewed, timestamps and interactions. The exact data depends on the website, analytics, security and advertising tools enabled at the time.
4. Cookies and similar technologies
The website and third-party services may use cookies, local storage, pixels or similar technologies to operate features, remember preferences, measure traffic, understand performance, protect against abuse and, where configured, support advertising.

- authorised WebPanther and Hello Buyer Group personnel;

- Google services used for the website, Apps Script, Sheets and email notifications;

- law-enforcement, regulators, courts or other persons where disclosure is legally required;
- a successor involved in a genuine merger, reorganisation or transfer, subject to appropriate protection.
We do not sell personal information for money.
9. Google Workspace inquiry processing
The Talk to Us form uses Google Apps Script to submit inquiry details to a Google Sheet and send a notification email to an authorised WebPanther mailbox. These services are operated by Google and may process information according to Google's applicable terms and privacy commitments. Access to the inquiry Sheet should be limited to authorised personnel.
10. International processing
Cloud, analytics and communication providers may process or store information in India or other countries where they operate. Where required, we will take reasonable steps to use providers and arrangements that support applicable data-protection requirements. Different countries may have different privacy laws.
11. How long we keep information
We retain personal information only for as long as reasonably needed for the stated purpose, an ongoing relationship, security, record keeping, legal compliance or dispute management.
Non-client inquiry records are normally reviewed for deletion or anonymisation after up to 24 months unless communication continues, the person becomes a client or a longer period is reasonably required. Client, invoice, contract and project records may be kept for the engagement and the period required by applicable legal, tax, accounting or limitation rules. Temporary anti-spam identifiers expire much sooner.
12. Security measures
We use reasonable administrative, technical and organisational measures designed to protect information, such as access controls, validation, anti-spam checks, role-based sharing and trusted service providers. No internet transmission or storage system is completely secure, so absolute security cannot be promised. If you believe information has been exposed or misused, contact us promptly.

Subject to applicable law and relevant exceptions, you may be able to:
- request a summary of personal data being processed and related information;
- correct, complete or update inaccurate or incomplete personal data;
- request erasure when the information is no longer required and retention is not legally necessary;
- withdraw consent for future consent-based processing;
- raise a grievance and receive a response through our contact route;
- exercise nomination or other rights when provided by applicable law.
14. How to exercise a right
Use the WebPanther Talk to Us page and write “Privacy Request” at the beginning of your message. Tell us what you are requesting and identify the email address or phone number used with WebPanther. We may request reasonable verification before disclosing, correcting or deleting information. We will respond within the period required by applicable law.
15. Your responsibilities
Please provide accurate information, do not impersonate another person, do not submit false or frivolous privacy requests and do not share another person's personal data without authority. Avoid sending highly sensitive personal information through a general inquiry form unless specifically requested through an appropriate secure process.
16. Children
WebPanther provides business-focused services and does not knowingly seek personal data from children. If you believe a child has submitted personal information without appropriate authorisation, contact us so the situation can be reviewed and appropriate action taken.
